2019 Food Vendor Application

Be part of the festival food service team!

Before submitting an application, please make sure you are aware of the expectations of concessionaires.

The Harmony Arts Festival runs off a limited amount of shore power, thus requires detailed pre-planning for power use. Please provide the following information:

  • concessionaires are expected to arrive on time, ready to serve our public, and remain open as per each individual agreement
  • no in/out of food trucks/trailers is allowed during the Festival
  • storage is not provided to concessionaires unless previously organized with Festival staff as our storage ability is limited
  • the Festival is a zero waste festival. All vendors are required to use compostable foodware (plates, cups, cutlery, condiment containers, etc.)
  • recycle stations will be provided and Concessionaires are responsible for sorting waste into the appropriate receptacle
  • concessionaires must keep their area clean, including emptying garbage and recycling and taking it to the provided receptacles
  • as an invited member of the Festival, we ask that all staff be courteous and presentable to the public at all times

      *vendors will be required to share their participation in the festival over relevant digital sources including the vendor’s website, Facebook, Instagram and Twitter. The festival will provide a suggested social media strategy.


The Harmony Arts Festival is not responsible for any lost, stolen or damaged goods. Failure to follow these guidelines may result in being asked not to return in the future.

Food vendor applications for the 2019 Harmony Arts Festival, presented by Odlum Brown Limited, are now open. The application deadline is Friday, March 29, 2019.




The Harmony Arts Festival collects 15% of total sales. Each vendor must provide sales totals by email at the end of each day to the Festival's Food Vendor Coordinator.

A cheque with this amount made out to the Harmony Arts Festival is to be paid upon receipt of an invoice from the District of West Vancouver.



Upon being selected, all food vendors must have a current West Vancouver Business Licence (Special Event) and a Temporary Food Service Licence, coordinated by Vancouver Coastal Health.

SIte Visit


All food vendors are required to meet with the Event Coordinator for a site visit. Together you will walk through your assigned area and go over specific requirements for the day of the event.



Signage must be of professional quality and be clear and easy to read. Each concession must be clearly marked with the name of the vendor.

A menu must clearly display prices in such a way that the public can read it.

All signs should be made out of coroplast or vinyl and not cardboard or paper. Signage can be arranged through the Festival on a cost recovery basis.



Equipment provided by the Festival:

  • designated position on the festival site to be determined by the festival
  • zero waste recycling recepticales including greenwaste, glass, landfill, etc
  • overnight security
  • tables, chairs, tents, lighting and signage can be provided at an additional cost to the concessionaire

Equipment provided by each Concessionaire:

  • signage
  • refrigerators and freezers as required
  • lighting (if operating at night)
  • the ability to lock and secure any goods left on site overnight
  • staff to operate, setup and dismantle all equipment
